Work through debt files and prepare the next enforcement step
In debt collection, the file has to show how much is owed today, what has already been tried and which step makes sense now. The agent team reads new and legacy files, keeps the claim account and prepares the next step, whether out of court, in the court order-for-payment procedure (Mahnverfahren) or in enforcement. You decide and approve.

Debt files grow over years
Judgments, cost statements, correspondence, payments and information requests pile up, some of it handwritten and several hundred pages long. Whoever takes over such a file needs a long time to piece together the claim, the measures, the payments and the addresses before anything happens. The claim account is often wrong because interest, costs and part payments were recorded in different ways. Measures are tried twice or not at all because the history is hard to see.

For law firms and collection departments
- Firms that collect and enforce claims for clients.
- Firms with large portfolios of claims and legacy files on paper.
- Owners of debt portfolios with an affiliated law firm that enforces claims with an enforceable title.
What the agent team handles in a debt file
- 01Reading files and separating documents
Even large and handwritten files are read by text recognition and split into individual documents.
- 02Reading the title and the claim
Principal, interest rate and date of the enforceable title are captured.
- 03Building the history of measures
Attachments, asset disclosures and address searches in chronological order, kept separate from the cost statements.
- 04Keeping the claim account
Principal, costs, interest including daily interest and historical base rates, and payments.
- 05Matching supporting documents
Every cost item is linked to the matching evidence.
- 06Matching payments
Bank statements are imported and payments assigned to the right file and item. They are booked to the claim account. If you wish, the team prepares the payout to clients by SEPA transfer for your approval.
- 07Checking the address
If the last measure was a long time ago, the team suggests confirming the address first.
- 08Recognising special cases
Where the debtor has died, is insolvent or has been granted discharge of residual debt, the team proposes the appropriate route.
- 09Preparing the order-for-payment procedure
Where there is no title yet, the demand letter and the application for an order for payment are drafted.
- 10Proposing the next step
The team proposes the step and fills in the enforcement order.
- 11Identifying the competent court
The team identifies the competent enforcement court and bailiff from the debtor's address.
- 12Deadlines and follow-ups
Status enquiries to the bailiff and file access at the court are tracked. If a reply comes in earlier, the follow-up is brought forward.

- The situation
When the claim account is not clear, for example where the debtor specified a different order of repayment.
